What appointment scheduling software does (and what it does not)
The phrase "scheduling software" covers two very different jobs. One kind plans employee shifts: who works Tuesday morning, who covers the weekend, how many hours each person logs. The other kind schedules appointments with clients: a client chooses a service and a time, and the software makes sure the person and the time are really free. Uply Meet is the second kind. It does not build staff rotas or track hours worked.
For an appointment business, good scheduling software does four things well. It shows clients only the times you can actually serve them. It stops two bookings from landing on the same person at the same time. It reminds clients before the visit and lets them change plans without calling you. And it gives you a single place to see the day. If a tool does those four things reliably, the rest is detail.
Uply Meet was built for businesses where the appointment is the product: a 30 minute fade, a 90 minute deep tissue massage, a gel set, a lash fill, a five hour tattoo session. These are short, personal services booked by individual clients, usually by one to a handful of staff. That is a different problem from booking meeting rooms or sales calls, and the product is shaped around it.
How Uply Meet decides which times to offer
Every time a client opens a day on your booking page, Uply Meet works out the open start times from scratch. The calculation, in plain words:
- Start with working hours. Each staff member has one or more time ranges per weekday, for example 09:00 to 13:00 and 14:00 to 18:00.
- Remove breaks, holidays and time off. A lunch break, a public holiday for the whole business, or a day off for one person removes that time.
- Remove existing bookings, with buffers. Every confirmed, pending or blocked booking takes its time away, including any buffer before or after the service.
- Fit the service length. A start time is offered only if the whole service plus its buffers fits before the next busy period.
- Apply notice and window. Times that start sooner than your minimum notice (2 hours by default) or later than your booking window (60 days by default) are hidden.
All of this runs in your business time zone. Time zones and daylight saving changes follow the IANA Time Zone Database, the standard source for local time rules worldwide (IANA time zones). When a visitor is in another zone, your page also shows each time in their local time, so a client booking from abroad does not arrive an hour early or late.
The final check happens when the booking is saved. Even if two clients see the same open time, the database accepts only one booking for that staff member and time range. You can read how that guarantee works on the booking page overview.
Scheduling software for small business teams
Most appointment businesses are small. In the US, the Bureau of Labor Statistics counts about 75,800 barber jobs in 2025, with 80% of barbers self-employed (BLS Occupational Outlook Handbook), and notes that self-employed massage therapists also spend time on booking clients and other business tasks (BLS, massage therapists). Uply Meet is priced and designed for that size of business: one person working alone, or a small team in one location.
- Solo (Free or Pro). One bookable calendar. Free includes 100 online bookings a month; Pro removes the monthly limit, lets you edit reminder timing and text, and keeps notes and a visit history for each client.
- Team (Studio). A bookable calendar for every staff member, each with their own hours, breaks and time off. Clients can choose a person or "any available". Owners and staff get different roles, and the team calendar shows a color for each person.
- Predictable cost. Studio is $20 a month for 2 staff, and each extra staff member adds $8. A team of 4 pays $36 a month.

What runs automatically
Automated scheduling software earns its keep on the work that happens after the booking. These steps run without anyone at the front desk:
- A confirmation email with an .ics calendar file (the iCalendar standard, RFC 5545) as soon as the booking is saved.
- Email reminders 24 hours and 2 hours before the start. On Pro and Studio you can choose the timing and edit the text. See how each appointment reminder is built.
- A private link in every email to reschedule or cancel, without logging in, until the notice period you set (24 hours by default).
- Freed slots reopen right away when a client cancels or moves.
- An alert to you for every new booking, change and cancellation.
Uply Meet sends email only. It does not send text messages, and it does not take payments yet; deposits at booking are planned Coming soon.
The calendar dashboard
The dashboard is where the day happens. It opens on today and switches between day and week views, on a laptop at the desk or a phone between clients. Times are shown in the location's time zone, not your browser's, so a laptop set to another zone never shifts the schedule.
- Add bookings by hand. Walk-ins and phone bookings go straight into the calendar. A manual booking that clashes with another is refused with a clear message, the same as an online one.
- Block time. Hold a slot for a training session or a long consult so nobody can book it online.
- Track what happened. Mark each visit as completed, cancelled or a no-show, so you can see which clients miss appointments.
- Client cards. Contact details stay with each booking, and on Pro and Studio you can keep notes and see a history of every visit.

Prices below are the entry prices each company publishes on its own pricing page, checked October 25, 2026. Products differ a lot in what they include (payments, marketing, marketplaces, video calls), so treat this as a starting point, not a verdict.

Sources: each company's official pricing page, checked October 25, 2026; prices change, so check the linked page before you decide. Vagaro also shows a lower promotional rate for the first 6 months; the table uses the regular price. Calendly is built mainly for meetings rather than in-person services.
Where Uply Meet fits: it is a simple, flat-priced option for small appointment businesses that want self-booking, email reminders and a firm double booking guarantee without marketplace fees. Square Free costs nothing per month (Square earns on card processing), and Setmore's free plan also includes email reminders, so if price is the only thing that matters, those are worth a look too. A per-staff comparison by team size is on our pricing page.
How to choose scheduling software for your business
Whichever product you pick, these questions separate a tool you will keep from one you will replace in six months:
- Is double booking blocked at save time? Ask how the tool behaves when two clients book the same slot at the same moment, not just whether it shows availability.
- Can clients book and reschedule without an account? Every extra step loses some clients, especially first-time ones.
- Are reminders on the plan you will actually pay for? On some free plans, reminders are a paid extra.
- How does the price grow? Per seat, per calendar, per location or per booking. Work out the cost at your size and at the size you hope to reach.
- Are there fees on top? Marketplace commissions on new clients, platform fees on paid bookings and card processing fees all add up.
- Does it handle your time zone and daylight saving correctly? This matters more than it sounds if you have clients traveling or booking from abroad.
- Can you get your data out? Ask before you commit, not after.
What Uply Meet does not do yet
Uply Meet is new, and we would rather you know the gaps before you sign up:
- Deposits and card payments at booking Coming soon
- Two-way Google Calendar sync for staff Coming soon
- Embedding the booking page inside your website Coming soon
- Several locations in one account Coming soon
- Custom questions on the booking form Coming soon
Employee shift rotas, point of sale and text message reminders are not part of Uply Meet today, and the product and the site are in English only. If any of these are deal breakers, a broader salon suite may suit you better today.
